A Supportive Community For All (SCFA) is a 501(c)3 nonprofit organization established in 2022 with a mission to create a more equitable Snoqualmie Valley by engaging, connecting, and supporting people and organizations to collaboratively build a community where all members can thrive. We draw on collective impact and community power-building frameworks while working with community partners to address inequities in health, housing, financial opportunity, and community connection. We practice equity leadership skills in all areas of our work, acknowledging that the journey to a thriving community is one that creates space to learn, make mistakes, repair, heal, and grow together.
SCFA supports a range of programs, including a shared Navigation Program that connects residents to health and human services, coalition-building with local nonprofits, and grant-funded efforts to reduce barriers to community wellbeing. The Administrative Specialist provides timely, reliable, and confidential support across these efforts, helping to ensure smooth daily operations.
As part of a small, collaborative team, this role requires someone who is dependable, organized, and proactive—able to manage sensitive information with integrity, track deadlines independently, and pitch in where needed to support the team’s success. Strong attention to detail, sound judgment, and excellent time management are essential.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist the Executive Director with bookkeeping-related administrative tasks such as organizing financial documents, processing receipts, and supporting routine financial workflows.
- Assist with employee time tracking and payroll-related administrative tasks to support timely and accurate processing.
- Support hiring and contracting processes by assisting with necessary verifications and documentation in accordance with policies.
- Distribute prepared employment, contractor, and partner contracts for signature and track receipt.
- Manage and maintain donor and volunteer records to ensure accurate and up-to-date information.
- Support maintenance of program partner contact lists and resource materials.
- Assist with managing communication platforms used for external stakeholder engagement.
- Periodically review and update SCFA’s online resource page to ensure current and accurate information.
- Facilitate communication and coordination with external IT support to address staff technology needs.
- Assist with preparation of reports, documents, and correspondence.
- Provide general administrative support, including answering phones, managing email inboxes, and scheduling meetings.
- Support coordination of meetings, trainings, and events.
- Manage office supplies and equipment needs.
- Perform other administrative duties as assigned.
QUALIFICATIONS
- Demonstrated reliability, discretion, and trustworthiness in handling sensitive personnel, financial, and organizational information.
- Strong organizational skills with the ability to manage multiple priorities, track deadlines, and complete tasks independently.
- High attention to detail and accuracy in administrative work.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and cloud-based platforms (e.g., databases, document management, case management systems).
- Comfortable learning and using administrative tools such as QuickBooks, e-signature platforms, and donor management software.
- Previous experience in nonprofit, administrative, or social service settings preferred but not required.
- Bilingual Spanish-English is a plus.
PHYSICAL DEMANDS & OTHER REQUIREMENTS
- Office environment, minimal physical demands.
- Reliable transportation and valid driver’s license may be required for occasional off-site tasks.
- Ability to work up to 20 hours per week, with a consistent schedule during standard business hours (Monday-Friday, 8:30 AM-5 PM).
