About the General Counsel’s Office
This role supports Ceres’s General Counsel (50%). The General Counsel provides legal counsel, strategic guidance, and consultation to the Chief Executive Officer and organizational leaders on a comprehensive range of legal and associated issues.
About the Investor Network Team
The Investor Network (IN) team works with more than 220 institutional investors with $44 trillion in assets under management to help members manage their investments and portfolios for a just and sustainable future. Working both domestically in the U.S. and globally, we help coordinate investor initiatives including Climate Action 100+, The Investor Agenda, the Paris Aligned Investment Initiative, and the Net Zero Asset Managers initiative.
About the Role
This role provides administrative support to Ceres’ General Counsel (50%) and the Vice President of the Investor Network (50%). This a hybrid position and will require the Executive Assistant to work onsite in the Boston office a minimum of two days per week (typically Tuesdays and Thursdays).
Specific duties include but are not limited to the following:
Chief Legal Officer Support
- Conduct investigative research, court document searches, and expert network research.
- Provide case tracking via PACER.
- Review and issue-spot program documents forwarded for legal review.
- Schedule meetings and appointments to synchronize with the calendars of other senior leaders and Ceres’ organizational calendar.
- Serve as Salesforce database point person completing necessary data entry in support of contract approvals, team annual planning process, and other initiatives.
- Act as point of contact for external partners and consultants, providing answers to logistical questions on contracts and other matters.
- Manage team correspondence; prioritize email and Slack communications, determine actions and ensure follow-through of activities to completion.
- Make necessary travel arrangements coordinating air, hotel, and other logistics as necessary.
- Manage expense reimbursement for executives and key initiatives.
- Special projects as assigned.
Investor Network – Investor Engagement Hub Support
- Serve as general internal point of contact for VP Investor Network.
- Schedule internal meetings and external appointments to synchronize with the calendars of other senior leaders and Ceres’ organizational calendar.
- Manage team correspondence; prioritize email and Slack communications, determine actions and ensure follow-through of activities to completion.
- Provide support for team events and meetings coordination by managing meeting logistics, preparing meeting materials, arranging travel when needed, taking minutes, and ensuring appropriate follow-up from the meetings.
- Make necessary travel arrangements coordinating air, hotel and other logistics as necessary.
- Manage expense reimbursement for executives and key initiatives.
- Special projects as assigned.
Qualifications
- Bachelor’s degree or commensurate experience required.
- Minimum of two (2) years of full-time related work experience required; experience supporting a senior level staff member preferred.
- Legal or law office support experience highly preferred.
- Experience conducting investigative legal research, court document searches, network research and experience with PACER for case tracking are preferred.
- Excellent research, organizational, and problem-solving capabilities and highly developed written and verbal communication skills.
- Sound judgment and high level of integrity and professionalism, with an ability to manage confidential information and maintain discretion, diplomacy, and courtesy in all contacts.
- Ability to work both independently and collaboratively as part of a team.
- Proficient with Microsoft Office suite (Word, Excel, PowerPoint), other database applications, teleconference and webinar systems and standard e-mail computer applications and willingness to be trained in Ceres specific applications.
- Knowledge of or willingness to be trained in specific Ceres’ applications necessary for success: Salesforce, Bloomberg, and others.
- Demonstrated ability to support Ceres’ Commitment to Inclusion and Equity.
- High level of interest in understanding Ceres’ program work, Ceres’ Theory of Change, and environmental and sustainability issues.
- Demonstrated initiative and motivation, and ability to handle and prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Ability to travel as needed.
